Getting started with ProDistro

This is a process case study — not a named customer story. It describes the onboarding sequence we typically run with wholesale pilots. We do not invent company names, invoice counts, or percentage improvements here.

Typical onboarding workflow

    Business and accounts setup

    Add company details and the cash or bank accounts the team already uses for collections and supplier payments.

  2. 2

    Products, customers, and suppliers

    Import or enter master lists from Excel or paper. Include opening stock and opening customer or supplier balances where needed so day-one numbers are believable.

  3. 3

    First live transactions

    Record a purchase as goods arrive, create cash and credit sales, and confirm stock quantities move as expected.

  4. 4

    Collections and reorder habits

    Use receivables to see who owes money, record partial payments, and follow up with reminders or WhatsApp. Use inventory views for low-stock reorder decisions.

  5. 5

    Short parallel period, then cutover

    Keep old sheets as reference for a brief window, then stop double entry. Review balances with the owner after the first busy week.

What success looks like early on

After go-live, the useful checks are ordinary: can staff create a credit invoice without help, does stock match a spot count on a few SKUs, and does the receivables list match what the owner believes customers owe?
